AI assistants and private document AI for EU companies

Your team shouldn’t spend
Friday compiling reports.

Quickscratch is an EU-based AI studio. We build AI assistants, document processing and private AI systems on one shared core, so a standard assistant is scoped to go live within 2 weeks, not quarters.

THE CORE ARCHITECTURE 01 / 04
One core, every build Schematic of a private AI system: documents feed a secured retrieval layer, which supplies context to a model-agnostic runtime connected to your own systems. Evaluation and LLMOps close the loop. Highlighted elements match the current chapter.

One core, every build

The same retrieval, model routing, evaluation and monitoring sit under every product we build.

Your company already
knows the answer.
Give it a voice.

Can an AI assistant answer questions from our own documents?

Yes. We connect an assistant to your contracts, procedures, product data or support history, and every answer shows the source it came from. If the answer isn’t in your documents, the assistant rewrites the search or says so. It’s built not to make one up.

  • Search across your own documents and systems
  • Answers with cited sources
  • Permissions that follow the user
How the company knowledge assistant works

Too messy for regex.
Too simple for an LLM.
We size the model to the job.

Do you need an LLM to extract data from documents?

Often not. Pulling fields out of documents, classifying tickets or reranking search results are narrow, repeatable jobs. A small model built for one of them runs in a modest container on your own server, has no per-token fees, and in our tests handles a prepared batch in under a second once loaded. Large models stay where reasoning is needed.

  • Rules where rules are enough
  • Small private models for narrow jobs
  • Large models for reasoning
How document extraction works

Sensitive data
stays private.
Even with cloud AI.

Can we use AI on sensitive documents without sending personal data to the cloud?

Yes. Before anything reaches a cloud model, a small local model finds and masks names, ID numbers, account numbers and other personal data, then restores them in the answer. The cloud model sees the task, not the person. For fully private workloads, the whole pipeline runs on your own servers.

  • On-premise
  • Private cloud
  • EU region

Bespoke on the surface.
One shared core underneath.

Why is it faster than building from scratch?

Every product stands on the same core: retrieval, file handling, OCR integrations, model routing, evaluation and monitoring. For your project we select the modules you need and build only the integration with your systems. That’s why a standard assistant is scoped in weeks, not quarters.

  • Model-agnostic by default

Change the AI provider later without rebuilding anything.

OpenAI, Anthropic, Google, Qwen, DeepSeek, or an open-weight model on your own infrastructure, all behind the same interface. A price change or a better release is a configuration change, not a rewrite.

  • Retrieval matched to the question

Easy questions get a quick lookup. Hard ones get more digging.

Plain vector search for a clean knowledge base. A corrective pass that rewrites the query or checks the web when the first result doesn’t answer the question. A knowledge graph when the question spans many documents.

  • The right store for the job

How your data is stored depends on what you’ll ask of it.

Qdrant for scale and metadata filtering. Neo4j when the answer depends on how things relate. Keyword search (BM25) alongside vector search, so exact codes, names and article numbers aren’t lost.

  • Evals before opinions

Nothing ships until it passes the checks we agreed on.

Every behaviour you care about becomes a test. Regressions are caught before release, not by your customers.

  • Cost you can see

An AI bill is usually one opaque number. Yours won’t be.

Spend per request, per feature and per client on a dashboard, with limits you set.

  • Better after launch

Improvements we build for one client reach your system too.

We keep your integration separate from the core, so security fixes and upgrades roll out to every client project quickly. You paid for quality, and it keeps improving after launch.

The things everyone asks.

Do we need an LLM for our task?

Not always, and we say so on the first call. Narrow jobs that repeat thousands of times, such as pulling fields out of documents, classifying tickets or reranking search results, often run better on a small model built for that one job: it runs on a modest server of your own, answers a prepared batch in under a second in our tests, and has no per-token fees. When the layout never changes, plain rules or a script are cheaper still. Large language models stay where the task needs reasoning, open questions or conversation. Quickscratch picks the smallest tool that does the job reliably, because that is also the one that is cheapest to run and easiest to keep private.

How do you stop the assistant from making things up?

Answers are built only from your own sources, and each one cites the document it came from. Before the model writes anything, the retrieved passages are checked for relevance; when they don’t answer the question, the assistant rewrites the search from the conversation, and if the sources still don’t hold the answer, it says it doesn’t know rather than inventing one. Keyword search runs alongside meaning-based search, so exact codes and names aren’t blurred. For answers where every word matters, a second model checks the first before the user sees it. And every behaviour you care about becomes a test that runs before each release.

Where is our data processed?

You choose where the system is hosted: an EU cloud region, your private cloud or your own servers. Files, the search index and logs stay where you put them. When an assistant calls a cloud model, a small local model first finds and masks personal data such as names, ID numbers and account numbers, so the cloud model sees the task, not the person; the details are restored in the answer on your side. Sensitive workloads can run entirely on local models, in which case nothing leaves your infrastructure at all. Your data trains only your own model, if you order one.

Is our data used to train AI models?

Your data trains only your model, if you order one. Never ours, never a model vendor’s.

Does our chatbot need to tell users it’s an AI?

In most cases, yes. From 2 August 2026, Article 50 of the EU AI Act requires that people are told they are interacting with an AI system, unless that is obvious from the context. Every assistant we build discloses it from the first message.

Regulation (EU) 2024/1689, Art. 50

What if a better model comes out next month?

Switching is a configuration change. We test the new model against your data first and only switch if it’s better.

Who owns what you build?

The core is ours and stays ours. What you ordered — the business logic — is yours: the way your data is collected, processed and turned into a result. Generic building blocks are not business logic. A class that writes files to Google Drive stays ours and we reuse it elsewhere; a class that processes your data in your particular way belongs to you. Models trained specifically for you are yours as well — that is custom work, and we are only co-authors. By default we build, host and maintain the product, which is how security fixes and core improvements reach you quickly. If you would rather run everything yourself, you can buy a licence to use the core in your own projects, with credit to QuickScratch. That licence also lets you end our support and continue on your own — we just need it confirmed in writing.

Why should we trust a new studio?

You don’t have to take it on faith. Payment is split into three milestones, the last one after acceptance tests agreed before the build starts, so you never pay in full for something that doesn’t work.

What is an MCP server, and why would we need one?

MCP (Model Context Protocol) is an open standard that lets AI tools such as Claude, ChatGPT or Cursor read and update your systems directly. Quickscratch is building a ready MCP core, available as early access, not yet as a finished service. The first stage covers reading and updating records in your database, spreadsheets or CRM. The next step is shaping the data for the model: querying a large table, filtering it and computing statistics, so the AI tool gets a compact, relevant context to analyse instead of raw rows. The point is that your team can ask questions of its own data from the AI tool it already uses.

Do you work with teams that have no AI experience?

Yes, and it changes nothing about how we work. You bring the workflow, we take on the technical side and explain every decision in plain language, so you can judge it for yourself. Experience with AI is welcome, not required.

How small is too small?

If a task repeats every week and takes someone hours, it’s usually worth automating. If it’s a one-off, we’ll say so.

Bring us one workflow. We’ll tell you what it needs.

A 30-minute call. Bring one real process or one sample document. We’ll tell you whether it needs an LLM, a small model, or just a script, and what it would take. No deck.
